REV2025: Privacy Notice

Introduction

This Privacy Notice provides information regarding processing of personal information of attendees of the REV2025 events (“Event(s)”) conducted by JAGGAER LLC, P.O. Box 12768, 700 Park Offices, Suite 300, Research Triangle Park, NC 27709. “Attendee” for purposes of this Notice includes all participants at the relevant Event, including those who only register, as well as the Exhibitors.

JAGGAER has appointed a Data Protection Officer, who can be contacted via email at privacy@jaggaer.com.

What type and categories of Attendees’ personal information are processed in relation to REV2025?

I. Identification, background and contact details.

business contact details including business address, business email address, business phone number
emergency contact
job position
company name
Attendees’ registration number
Information about attendance to specific sessions
image, audio, video (as captured on a webinar, in photographs or on video/audio recordings JAGGAER makes of the Event)

II. Sensitive personal information.

Data that can be derived from the information on Attendees’:
- dietary restrictions
- accessibility needs

III. Online.

details of Attendees’ IP address, browser type and operating system when they visit Event website to inform themselves about and/or to register to the Event;
records of communications sent to Attendees’ by JAGGAER or received from Attendees.

How does JAGGAER obtain Attendees’ personal information?

JAGGAER obtains Attendees’ personal information within the:

process of Attendees’ registration to the Event;
Attendees’ participation in the Event.

What is the legal basis for personal information processing?

JAGGAER is processing persona data on following basis:

Performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract for:
- Identification and contact details – name, surname, business details including: company name, job title, business address, business email address, business phone number;
- Data that may be part of communication between JAGGAER and Attendee – correspondence about the Event, including sending pre and post-event information);
- Online and transactional data.

- food restrictions data (in situation where Attendee is unable to provide consent e.g., person is unconscious);
- accessibility data (in situation where Attendee is unable to provide consent e.g., person is unconscious).

- security related processing such as attendees’, such as Attendees’ badges;
- filming, photographing or otherwise recording Event and publishing such content on our website, social media accounts and other formats where it would not be necessary, appropriate or practicable to obtain your specific consent;
- analyzing who is attended the Event, including so that we can monitor the success of our outreach program and understand trends in participation;
- marketing the JAGGAER and its Event by electronic mail, social media, phone (but without prejudice to Attendees’ rights under the legislation that regulates the sending of marketing communications by electronic means) and otherwise as permitted under applicable laws;
- using digital tools to monitor the impact of our marketing communications (click open rate, etc.);
- when Attendee is registering to Sponsor session at a virtual or in-person Event, Attendee’s registration information will be shared with that particular Sponsor/Exhibitor to analyze attendance information and success of the session.

What is the purpose of personal information processing?

JAGGAER will process personal information obtained in relation with the Event for the following purposes:

to communicate with Attendees regarding the Event;
as reasonably necessary for the management and organization of the Event, including for providing Attendees with adequate diet at the Event and accessibility to the Event location;
protecting vital interests of Attendees in case of an emergency;
for JAGGAER’s internal reporting purposes;
marketing activities.

To whom does JAGGAER disclose and where applicable transfer the Attendees’ personal information?

Below listed third-party service providers support JAGGAER with the Event, subject to contractually agreed conditions of privacy, confidentiality and security, and where applicable, a valid personal information transfer mechanism:
- Salesforce, Inc., P.O. Box 203141, Dallas, TX 75320-3141, United States for managing attendees’ registration information;
- Cvent, Inc., 1765 Greensboro Station Place, 7th Floor, Tyson’s Corner, VA 22102, USA for event registrations and landing pages.
Hotel and other venues as applicable for each Event; Sponsors of the Event.
Where it is in Attendees’ vital interests to do so and an Attendee is incapable of giving consent, data may be shared, for example, to inform a specified emergency contact, the NHS, or emergency services in the event of an Attendee’s illness or another emergency.
Please note, photographs and/or audio-visual footage may be taken and/or live streamed during (part of) a JAGGAER event. Photos and videos can be published on JAGGAER websites and social media pages as well as on the co-organizer’s online platforms. Photos and videos may also be recorded and can be reproduced in various media including JAGGAER publications, social networks, and press, in connection with a specific event or for further institutional purposes as well as for promotional activities of JAGGAER. Please note, once made available to the public, JAGGAER has no control over, and is not responsible for, any use or misuse (including any distribution) by any third party of such recordings.

International Data Transfers

JAGGAER will transfer Attendees’ personal information to locations where JAGGAER Affiliates are based as well as the third-party service providers as listed above, transfer will be conducted only subject to rules and valid transfer mechanism under the applicable data privacy laws and appropriate security measures.

How long will JAGGAER keep Attendees’ personal information?

Attendees’ sensitive personal information will be retained on JAGGAER’s system up to one (1) month post event.

Attendees’ other personal information will be retained on JAGGAER’s system up to one (1) year after the event.

Attendees’ rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

The right to know. Attendees have the right to request that JAGGAER disclose certain information to them about JAGGAER’s collection and use of their personal information, such as the specific pieces of personal information JAGGAER has collected, as well as information about JAGGAER’s sale or disclosure for business purposes of their personal information to third parties. Once JAGGAER receives and confirms an Attendee’s request, JAGGAER will disclose to the Attendee the information they have requested.
The right to delete. Attendees have the right to request that JAGGAER delete any of their personal information that JAGGAER collected from them and retained, subject to certain exceptions. Once JAGGAER receives and confirms their verifiable consumer request, JAGGAER will delete (and direct JAGGAER’s service providers to delete) Attendees’ personal information from its records, unless an exception applies.
The right to correct inaccurate personal information maintained by JAGGAER.
The right to data portability. Attendees have the right to request that personal information is transferred to another entity in a structured, commonly used, machine-readable format, to the extent possible.
The right to opt-out of the sale of personal information. Attendees have the right to opt out of the sale of their personal information and the sharing of their personal information for cross-context behavioral advertising (e.g., targeted advertising). JAGGAER will not conduct any such selling or sharing unless the Attendee opted in to be included in the “Attendee list” shared with the Event Sponsors by checking the box at the time of registration.
The right to limit the use and disclosure of Sensitive personal information. Attendees have the right to limit the use and disclosure of their Sensitive personal information to that use which is necessary to perform the expected service.
The right to non-discrimination. JAGGAER will not discriminate against Attendees for exercising any of their CCPA/CPRA rights.

Attendees’ rights under the GDPR

In terms of the EU General Data Protection Regulation 2016/679 (GDPR), JAGGAER LLC, P.O. Box 12768, 700 Park Offices, Suite 300, Research Triangle Park, NC 27709, is the Data Controller of Attendees’ personal data.

The right to be informed. Attendees are entitled to be informed of the use of Personal Data (as defined under GDPR). This Notice provides such information.
The right of access. Attendees have the right to request a copy of their Personal Data which JAGGAER holds.
The right of correction. Attendees have the right to request correction or changes of the Personal Data if it is found to be inaccurate or out of date.
The right to withdraw consent. Attendees have the right to withdraw a previously given consent for processing their Personal Data.
The right to be forgotten. Attendees have the right to request JAGGAER, at any time, to delete their Personal Data in its possession when it is no longer necessary for JAGGAER to retain such data for the purpose of processing, when the Attendee withdraws consent on which the processing is based and where there is no other legal ground for the processing;
The right to object (opt-out). Attendees have the right to opt out of use of their Personal Data, for direct marketing purposes at any time.
The right to data portability. Attendees have the right to a “portable” copy of the Personal Data they have submitted to JAGGAER.
The right to refuse to be subjected to automated decision making, including profiling. Attendees have the right not to be subject to a decision and insist on human intervention if the decision is based on automated processing and produces a legal effect or a similarly significant effect.
The right to lodge a complaint with a supervisory authority. Attendees have the right to lodge complaints about our data processing activities by filing a complaint with JAGGAER or with the relevant Supervisory Authority.
